I think most people would agree with me that sorting out administrative tasks can feel like a daunting mountain to climb. As a new business manager, this is probably the thing that I find the hardest, simply because there is so much of it to do! If you are like me, your ‘to do list’ is never finished - when you think you’re nearly there, you then remember another 5 things you need to sort out. However, sorting out your admin is a journey worth embarking on, whether you’re managing a household, running a business, or simply trying to keep your life organized, understanding its pros and cons of just getting down to it, can help you decide how to approach it.
The Pros of Sorting Out Admin
1. Stress Reduction
A cluttered environment often leads to a cluttered mind. By sorting out your admin tasks, you can significantly reduce stress levels. Knowing that your paperwork is in order and that you have a clear plan for your tasks can provide peace of mind. How many times have you tried to relax, meditate or do yoga, only to find that your mind is racing with all the things you have to sort out. If you’re juggling multiple responsibilities; having an organized system allows you to prioritize effectively.
2. Increased Efficiency
One of the biggest advantages of sorting out your admin tasks is the boost in efficiency. When everything is organized, you can find documents, files, and information quickly. This pro really calls to my inner librarian and school teacher. Imagine not having to rummage through piles of papers or scrolling endlessly through digital folders. Instead, you can focus on what truly matters—whether that’s completing projects, spending time with family, or pursuing hobbies.

It also enables you to incorporate a time into your busy life for your own ‘well-being’ practice, which we all know should be a priortity, but unfortunately often gets pushed aside.

There is nothing worse than being passed from one department to another, or when you never get a proper answer to question you have asked, despite being on the phone for half an hour!

The Cons of Sorting Out Admin

While sorting out admin tasks has numerous benefits, it does require an initial time investment. Setting up an organized system—whether it’s filing paperwork or creating digital folders—can be time-consuming. If you’re already busy, this might feel like an overwhelming task. ‘Overwhelmed’ is definitely how I feel at the moment: trying to keep on top of the planning of class and retreats, updating the website, creating promotional materials, researching appropriate audiences and how to make contact with them - the list is neverending!
2. Potential for Over-Organization
There’s a fine line between being organized and being overly meticulous. Sometimes, people can get caught up in perfecting their systems instead of actually completing their tasks. This over-organization can lead to procrastination and frustration when things don’t go as planned. This is tricky one for me, as people coming to a retreat want to know exactly what they are going to be doing, but then I also think it is important to be flexible enough to take advantage of unique events that crop up, such as village fetes.
4. Risk of Information Overload
In an effort to sort everything out, there’s a risk of becoming overwhelmed by information overload. You might find yourself collecting too many resources or tools in an attempt to enhance organization, leading to confusion rather than clarity. Just keep it simple! Choose a programme or company you work well with, for me, the three I use are Wix for my website, Canva for creating marketing materials, Google Docs for planning and organising.
5. Maintenance Effort
An organized system requires ongoing maintenance to remain effective. This means regularly updating files, cleaning up unnecessary documents, and ensuring that everything stays in its designated place. If this maintenance isn’t prioritized, the system can quickly become disorganized again and you are back at sqaure one!

So how do we find balance in sorting out our admin? Here are some tips:
- Start Small: Begin with one area—be it your email inbox or a single drawer—and gradually expand from there.
- Set Clear Goals: Define what you want to achieve with your organization efforts so that you stay focused.
- Be Flexible: Allow room for adjustments in your systems as needed; rigidity can lead to frustration.
- Involve Others: If you're working in a team or family setting, involve others in the process for shared ownership.
- Celebrate Progress: Acknowledge small victories along the way to keep motivation high.
